Hosts – How to manage your calendar and availability

Learn how to update your availability, change nightly rates and sync your calendar with other booking platforms.

Written by Product Team

Keeping your calendar up to date helps prevent double bookings and ensures guests can only book your home when it's available.

You can manage your availability and nightly rates directly from your Plum Guide Host Dashboard, or sync your calendar with other booking platforms to keep your availability aligned.

How to access your calendar

Each of your homes has its own calendar in your Host Dashboard.

  1. Go to Listings and select the home you'd like to manage.

  2. Under Availability, select Calendar from the menu on the left.

From here, you can view your home's availability, block or unblock dates, and adjust nightly rates.

How to update your availability

You can block dates when your home isn't available for bookings, and unblock them when you're ready to welcome guests.

  1. Go to Listings and select the home you'd like to manage.

  2. Select Manage > Availability > Calendar.

  3. Use the month selector or arrows to find the dates you'd like to update.

  4. Select a single date, or click and drag across the calendar to select a date range.

  5. In the panel on the right, click Block date to make the selected dates unavailable, or unblock them to make them available again.

Your changes are saved automatically. Blocked dates won't be available for guests to book on Plum Guide.

Good to know: If your home is connected via a PMS r channel manager, you won't be able to update your availability directly in your Plum Guide calendar. You'll need to make changes on the platform your calendar is synced with.

How to sync your calendar with other platforms

If you advertise your home on other booking platforms, it's important to keep your availability in sync to avoid double bookings.

There are two ways to sync your Plum Guide calendar:

  • Using a PMS or channel manager: If you already use a Property Management System (PMS) or channel manager, you can connect it to Plum Guide to manage your availability across platforms.

  • Using iCal links: If you manage your listings directly on platforms such as Airbnb, Vrbo or Booking.com, you can import and export calendar links to keep your availability aligned.

Sync with a PMS or channel manager

If you use a PMS or channel manager, you can connect it to Plum Guide to help keep your availability up to date across platforms.

How to connect your PMS or channel manager

  1. Go to Listings and select the home you'd like to manage.

  2. Select Manage > Availability > Platform Sync.

  3. Select your PMS or channel manager from the list.

  4. Click Next and follow the instructions to continue setting up your connection.

Plum Guide supports a range of providers, including Avantio, BookingPal, NextPax, Rentals United, Smily (formerly BookingSync), SuperControl and Guesty.

Can't find your provider? Select Other to continue.

Don't use a PMS or channel manager? Select I don't use a PMS or channel manager. You can sync your availability using iCal links instead.

Sync using iCal links

If you manage your availability directly on other booking platforms, you can connect their calendars to Plum Guide using iCal links.

To keep availability synced in both directions, you'll need to:

  • Import your other calendars into Plum Guide, so unavailable dates from those platforms appear on your Plum Guide calendar.

  • Export your Plum Guide calendar to other platforms, so dates booked or blocked on Plum Guide are reflected in their calendars.

You only need to set up these connections once, but syncing isn't always instant, so updates may take some time to appear.

How to import a calendar into Plum Guide

  1. Go to Listings and select the home you'd like to manage.

  2. Select Manage > Availability > iCal links.

  3. Enter a Calendar nickname to help you identify the platform, for example, Airbnb.

  4. Paste the iCal link copied from your other booking platform.

  5. Click Import.

Not sure where to find your iCal link? In the import window, you'll find links to the help centres for Airbnb, Vrbo and Booking.com, with instructions on how to export their calendars.

How to export your Plum Guide calendar

  1. Go to Listings and select the home you'd like to manage.

  2. Select Manage > Availability > iCal links.

  3. Click Export Plum Guide iCal.

  4. Copy your Plum Guide calendar link.

  5. Go to your other booking platform and follow its instructions to import an external calendar.

Important: Importing another calendar into Plum Guide doesn't automatically export your Plum Guide calendar to that platform. Make sure you've completed both steps if you want availability to sync in both directions.

How to manage your connected iCal calendars

You can view and manage your existing iCal connections at any time.

  1. Go to Listings and select the home you'd like to manage.

  2. Select Manage > Availability > iCal links.

  3. From here, you can:

    • View your connected calendars.

    • Refresh a calendar to check for the latest updates.

    • Edit an existing calendar connection.

    • Remove calendars you no longer want to sync.

Good to know: Removing an iCal connection will stop availability updates from being imported from that calendar.

Having trouble syncing your calendar?

If your availability isn't updating as expected, here are a few things to check:

  1. Check your calendar links. Make sure you've imported the correct iCal URL for the property you're trying to sync.

  2. Refresh your calendar. Go to iCal links and manually refresh the relevant connection to check for updates.

  3. Check your other booking platform. Make sure its calendar export is active and the link is still valid.

  4. Check both directions. If Plum Guide bookings aren't appearing on another platform, make sure you've also exported your Plum Guide calendar there.

  5. Allow time for syncing. Updates aren't always instant and may take some time to appear across platforms.
